At Shanghai Zekun Machinery, every deal has a story. This time, it started with an email from an East Asian construction company looking for seven CAT mini excavators. The company, a mid-sized contractor specializing in urban infrastructure projects, needed compact and reliable machines for their expanding operations.

Step 1: The Inquiry & Building Trust

The inquiry came through our website (www.zekunmachinery.com), where the client browsed our inventory and filled out a request for information. Our sales manager, Michael, quickly responded with a personalized email detailing the available CAT 305 and CAT 306 models, along with photos, specifications, and recent inspection reports.

To build trust, we emphasized our new role as an official inspection agency in China, working with brands like Hyundai and Hitachi. This reassured the client that we could provide a transparent and professional assessment of the machines before shipment.

Step 2: Equipment Inspection & Selection

The client was interested but wanted to ensure the quality before committing. To address their concerns, we conducted a detailed inspection on all seven units, providing:

Engine performance tests

Hydraulic system analysis

Structural integrity checks

Undercarriage condition reports

Each report included high-resolution photos and videos, allowing the client to see the machines in action. After reviewing the data, they confirmed their selection of seven units—five CAT 305s and two CAT 306s.

Step 3: Negotiation & Closing the Deal

With the machines selected, we entered the negotiation phase. Pricing was key, and since we had established a solid reputation with the client, they were willing to place a bulk order in exchange for a small discount.

The final terms included:

• A 50% deposit before loading

• The remaining 50% upon Bill of Lading (B/L) issuance

FOB Shanghai shipping terms

• Delivery via containerized shipping for cost efficiency

After finalizing the agreement, the client promptly wired the deposit, and we moved forward with logistics.

Step 4: Loading & Shipment

Once payment was secured, our logistics team arranged transportation to the port. Given that mini excavators are compact, we strategically loaded the seven units into 40ft high-cube containers to maximize space.

Before sealing the containers, we conducted a final inspection and photographed the loading process for documentation. The entire shipment was then booked on a vessel bound for the client’s country, with a transit time of approximately 18 days.

Step 5: Post-Sale Support & Future Cooperation

After departure, we provided the client with real-time shipping updates and digital copies of all necessary documents, including:

Commercial Invoice

Packing List

Inspection Certificates

Bill of Lading

Upon arrival, the client successfully cleared customs, and the excavators were deployed to their construction sites within a week.

Impressed by the seamless process and machine quality, the client has since expressed interest in a long-term partnership, with a potential order for 10 additional excavators next quarter.
